The cost of each Beyond The Classroom (BTC) tour is based on a minimum of 24 tour participants domestically and 12 internationally for each scheduled travel date and destination. Should the minimum number of necessary travel participants for a particular tour not be met, Beyond The Classroom reserves the right to combine your tour with another to meet the required participant numbers or to offer the tour with less people for an additional charge.
The date of cancellation will be determined by the date on which Beyond The Classroom receives written notice from the adult tour participant or the parent/guardian of a minor tour participant. Refunds will be based on the costs incurred by Beyond The Classroom before tour departure.
Participants are required to make an initial payment to accompany their application which includes a non-refundable fee of $150 and their Beyond The Classroom determined first scheduled payment amount. All tour costs must be paid in full at least 60 days prior to scheduled tour departure date. Payment in full at the time of the submission of the application will receive a $100 spending credit from Beyond The Classroom while the participant is on tour.
However, for "Special Limited Time" offers, the $100 credit mentioned above is not available. By paying in full, the participant will avoid a finance charge of $100 or more dependent on cost structure of the particular tour. These "Special Limited Time" offers may include a $50 credit to the participant for each person recruited by them that completes that specific tour. This will be paid directly to the participant while on tour, or a credit paid to the participant, within 30 days of completion of the particular tour. The registrant must inform BTC how they would like the credit applied 60 days before the trip departure date. Failure to do so will give BTC the right to apply the credit as it deems appropriate. The credits cannot exceed the the cost of the particular tour minus $150.
In case of cancellation on the part of the tour participant, for any reason, 60 days or less before scheduled tour departure, no refund will be issued.
In case of cancellation on the part of the tour participant, for any reason, 61 days to 90 days before scheduled tour departure, a 50% refund will be issued minus the required $150 non-refundable tour fee.
In case of cancellation on the part of the tour participant, for any reason, 91 to 120 days before scheduled tour departure, a full refund will be made minus the $150 non-refundable fee and a $400 cancellation fee.
In case of cancellation on the part of the tour participant, for any reason, 121 days or more before the scheduled departure date, a full refund will be issued minus the $150 non-refundable fee.
If you are a “late” applicant within 89 days of the scheduled Beyond The Classroom tour departure date, you must pay in full at the time of submitting an application, and are subject to fees associated with special accommodations including, but not limited to, increased airfare, single supplements for rooms, and activity charges.
Payments not received by scheduled payment due date: a late fee of $25 dollars may be assessed.
If payment for tour is not made in full at least 60 days prior to the scheduled Beyond The Classroom tour departure date, Beyond The Classroom reserves the right to cancel your tour and no refund of any kind will be issued.
In case of tour cancellation on the part of Beyond The Classroom, for any reason beyond its control such as, but not limited to, acts of God, war, declared and undeclared, terrorist activities, incidents of violence, public health issues, or quarantine, substantial currency fluctuations, strikes, government restrictions, fire, severe weather conditions, which make it unsafe, impossible or commercially unreasonable in the opinion of Beyond The Classroom to conduct the tour, a future travel voucher valid for one year from the date of cancellation will be issued minus the $150 non-refundable tour fee.
